This Privacy Policy explains how Spaulding Asset Solutions d/b/a Not Just Auctions ("LotForge," "we," "us") collects, uses, and shares your information when you use the LotForge platform (the "Services"). By using the Services, you agree to this Policy.
Who We Are
LotForge is a software platform operated by Spaulding Asset Solutions d/b/a Not Just Auctions, based in Oklahoma, USA. LotForge provides AI-assisted catalog tools for auctioneers and keyword-based listing alerts ("LotAlerts") for collectors. We are not an auction house and do not process sales, bids, or payments between buyers and sellers.
Information We Collect
Information you provide:
- Account information — your name, email address, password, and account type (auctioneer or collector).
- Catalog and lot content (auctioneers) — the item information, descriptions, estimates, catalog data, and images you upload or create to build catalogs.
- Keywords and preferences (collectors) — the keywords you save to track listings and your notification settings.
- Payment information — when you purchase paid features, payment is handled by our payment processor. We receive limited billing details (such as a confirmation and the last digits of a card) but do not collect or store your full card number.
- Communications — messages you send us through the contact form or by email.
Information collected automatically:
- Usage and device data — IP address, browser type, operating system, pages viewed, and similar diagnostic data.
- Cookies and similar technologies — used to keep you logged in, remember preferences, and understand how the Services are used (see Section 7).
How We Use Your Information
We use your information to:
- provide and operate the Services — build and manage catalogs, generate AI-assisted lot content, match published listings to your saved keywords, and send you notification emails;
- process payments and manage your account and subscription;
- communicate with you about your account, service updates, and support requests;
- maintain, improve, secure, and troubleshoot the Services; and
- detect, prevent, and address fraud, abuse, or violations of our Terms.
AI Processing of Your Content
LotForge uses third-party artificial intelligence services to generate suggested lot titles, descriptions, and estimated value ranges from the item information and images you provide. To do this, that content is transmitted to our AI provider for processing. AI-generated output is a suggestion only and is not a guarantee of accuracy or value (see our Terms). We do not use your private catalog content to train public AI models.
Third-Party Service Providers
We share information with third-party providers who perform services on our behalf, only as needed to operate the platform, and under obligations of confidentiality. These currently include:
- Email delivery (e.g., Resend) — to send notification and account emails.
- Image hosting (e.g., ImageKit) — to store and serve the images you upload.
- AI processing (e.g., Google / Gemini) — to generate catalog content from your inputs.
- Database and hosting (e.g., MongoDB, and our application hosting provider) — to store your data and run the Services.
- Payment processing (e.g., Stripe) — to process payments; your card details are handled by the processor under their own privacy policy.
These providers may change as our platform evolves; we will keep this section current.
How We Share Information
We do not sell your personal information. We share it only:
- with the service providers described in Section 5;
- as public catalog content — when an auctioneer shares a catalog link or publishes a catalog, the lot information and images in that catalog become viewable by anyone with the link and by collectors on the platform. Do not include private information in catalog content you intend to share or publish;
- to comply with the law or valid requests by public authorities (e.g., a court or government agency), or to protect our rights, users, or the security of the Services; and
- in connection with a business transfer (such as a merger or acquisition), subject to this Policy.
Cookies and Tracking
We and our providers use cookies and similar technologies for essential functionality (such as keeping you signed in) and to understand and improve how the Services are used. You can control cookies through your browser settings, though disabling some may affect how the Services work.
Data Retention
We keep your information for as long as your account is active or as needed to provide the Services, comply with our legal obligations, resolve disputes, and enforce our agreements. You may request deletion of your account and associated personal information as described in Section 9.
Your Choices and Rights
- Access and update — you can view and update your account information in your profile settings.
- Email preferences — you can unsubscribe from notification (LotAlerts) emails at any time; we may still send essential account or transactional emails.
- Deletion — you may request that we delete your account and associated personal data, subject to legal retention requirements.
To make a request, contact us at the address in Section 12. Depending on where you live, you may have additional rights under applicable privacy laws.
Data Security
We use commercially reasonable measures to protect your information. However, no method of transmission over the Internet or method of electronic storage is 100% secure, and we cannot guarantee absolute security.
Children's Privacy
The Services are not intended for anyone under 18, and we do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
Changes and Contact
